Sponsor proposals and e-signature

Updated Nov 5, 2026

When a business agrees to sponsor, you can send the proposal for signature online. No printing, scanning or chasing. E-signing is built into Chamber Culture, and sending it is for chamber admins only.

Send a proposal for signature

  1. Go to Sponsorships in the sidebar and find the sale.
  2. Click E-sign on its row. The button shows for sponsors that are members.
  3. Under Who should sign?, choose a contact. Only contacts with an email address are listed.
  4. Upload the Proposal PDF (up to 10 MB).
  5. Click Send for signature.

The sponsor gets an email with a link to their member portal. Nothing changes for a sponsorship until you send one.

What the sponsor does

They sign in to the portal the way they normally do and open Sponsor documents. They read the proposal on the page, type their full legal name, tick the box agreeing to sign electronically, and click Sign the proposal.

Follow it, remind, void

The page lists each request as Waiting for signature, Opened, not signed yet, Signed or Voided.

  • Email a reminder sends the link again.
  • Void this request withdraws it if the proposal changed or went to the wrong person. The sponsor can no longer sign it. You can then upload a corrected PDF and send a new one. Only one open request is allowed at a time.
  • Download proposal gives you the file that was sent.

A proposal that has been sent cannot be edited. If something is wrong, void it and send a new one.

After it is signed

  • You are notified, and the signer receives an email with a link to their copy.
  • Click Download signature certificate on the request. It records the typed name and the date and time of signing, and is the proof to keep alongside the proposal.
  • The sponsor can see and download their documents from Sponsor documents in their portal. Only people at that sponsor's business can see them.

Good to know

  • If the file is changed after it was sent, signing is refused and the sponsor is asked to contact the chamber. Send it again.
  • If your chamber has paused outgoing email, the request is still created, and you can share the portal link yourself.
