Creating and sending an invoice

Updated Nov 5, 2026

Invoices start as private drafts, so you can take your time and get them right before a member ever sees one.

Create the draft

  1. Click Billing in the sidebar, then New invoice.
  2. Under Bill to, search for the member and select them.
  3. Under Lines, fill in the Description, quantity and unit price. Click + Add line for more.
  4. Add a Memo if you want a note shown on the invoice.
  5. Click Save draft.

Issue and send

  1. On the invoice page, click Edit lines if you need a change, then Issue invoice. It gets its number and its lines are locked.
  2. Click Send invoice to email it. The button beside it lets you preview the email first.
  3. Or click Copy pay link and send it yourself. The member can pay online without logging in, as long as you have online payments turned on.

Back on Billing, Send unsent invoices appears when issued invoices have not gone out yet, so you can send them in one batch.

Fixing a mistake

An issued invoice is never edited or deleted. Instead, a chamber admin can open More actions (the three dots) and choose Void invoice, with a short reason. On the voided invoice, Reissue as new draft makes a fresh copy to correct and send.

A draft is the one stage you can throw away: click Delete draft.

Good to know

  • You cannot issue an invoice with no lines.
  • Invoice PDF downloads a printable copy.
  • Renewal invoices for tiers can be created for you automatically. See the billing article for details.
